Appointments

• Making Appointments
  Office visits are by appointment only (except walk in hours, see below). Please call: (703) 938-5555 to set up an appointment.  Appointments can NOT be made by email at this time.
  
  
• Cancelling Appointments
  Appointments should be cancelled no less than 24 hours in advance.  We reserve the right to charge a $50 fee if cancelled in the same day.
  
  
• Late for Appointments
  Your time is valuable to us and we aim to keep appointments on time and keep your wait brief.  We need your help to achieve this goal and that means arriving on time or early for appointments.  If you are late, we are late for the next appointment.  In the event that you are over 15 minutes late for a well child visit, we reserve the right to reschedule the appointment and apply a late fee of $50 to your account.
  
• Walk In Hours
  We are excited to make life a little easier for those unplanned times when your little ones get sick.  Walk in hours are on Monday 7-8:30 am and Friday 3-4:30 pm.

Telphone Helpline

• Nurse Helpline
  Our phones are answered by our experienced nurses during office hours. You will find them to be a remarkable resource. In the rare event that they are unable to answer your question, you will either be forwarded to one of our physicians or a message taken in order for the doctor to return your phone call.
  
  
• What Information to Have Ready When Calling
  When calling our office about a sick child, please be sure to have pen, paper, and the phone number of your pharmacy available. All requests for prescriptions, referrals, or medical records should be recorded on our voice mail system. Call (703) 938-5555 and follow the prompts. If your physician has used our electronic prescription service, you may request refills directly from the pharmacist who will then request them from our office electronically for no fee.

Emergencies

• Nighttime Emergencies
  For all emergencies requiring immediate medical attention call 911. For less time critical questions,  calling our regular number after hours will connect you with our automated answering service. Please leave your name and phone number.  Our on call nurse will call you back shortly.  Calls overnight should be for emergencies only - please reserve routine questions for daytime hours.



• Need for Hospitalization
  In the rare circumstance that your child requires hospitalization, we recommend admission to Inova Fairfax Hospital for Children where pediatric trained emergency room physicians, hospitalists, and neonatologists care for our patients.
  
  
• After Hour Fees
  After hour call fees are $20.00. This enables us to have medical staff available to you 24 hours per day, 7 days per week including all major holidays. Please be aware that most major insurance plans provide a free call line for after hours. This number is usually located on your insurance card and is FREE.

Medical Records

• Obtaining Records
  Medical records can be obtained from our office within 7-10 days of a signed written consent. Any patient who is over the age of 18 must sign for the release of their own medical records. There is a fee for copying medical records of $20.00 per patient.

Payments and Fees

• Transparency in Fees
  There is nothing worse than hidden fees.  To provide our families with conveniences not offered at other practices, there are fees for services and tests not covered by insurance.  However, prior to any procedure or test with a charge, we always provide you with a form that states how much the additional service is as a means to confirm that you are fully aware of the cost.  We also always collect co-pays prior to the visit in order that you can leave immediately after the visit. 
  
  
• Weekend and Evening Appointments
  There is an additional weekend and evening fee of $20.
  
  
• Forms
  There is a fee of $15 for the completion of camp, school, and other forms.
  
  
• Credit Cards Accepted
  We accept Visa, Mastercard, and Discover cards.

Laboratory Tests

• Commercial Labs
  Laboratory tests may be ordered for certain well child visits in addition to sick visits. A number of these tests may be performed in our office or ordered at a commercial laboratory, as dictated by the requirements of your health insurer. Both Labcorp and Quest Diagnostics are the commonly used commercial laboratories approved by the various insurance carriers. Please be aware of your insurance carrier's preferred lab and let the doctor know this when ordering tests.
  
  
• In-house Laboratory
  We are pleased to offer you lab and phlebotomy services on-site at Advanced Pediatrics.  Many common tests, such as strept throat and flu tests, are covered by health plans and can be done quickly and more safely by our staff in a child friendly environment.  For some tests there may be a fee for the convenience and it will be up to you as a family to decide whether you would prefer to go to the commercial lab or pay relatively low fees for the convenience of our in-house lab.  Because of these fees, we are able to provide more on-site laboratory services than any other pediatric practice in northern Virginia.
